1.Overview
This Privacy Policy explains how Flowpera (“Flowpera”, “we”, “us”) collects, uses, shares and protects information when you use our website and our business operations platform (together, the “Service”).
By creating an account or using the Service, you agree to the practices described here. If you don't agree, please don't use the Service.
2.Information we collect
Account information
When you register, we collect your email address, password (stored only as a secure hash), and optionally your display name and timezone.
Workspace content
We store the content you create in the Service, including workspaces, booking forms, custom forms, contact lists and contacts, bookings, tasks, and messages in discussion channels.
Information from your audience
When someone books a time or submits one of your forms, we store the information they provide — such as their name, email address, and answers to your questions — on your behalf.
Billing information
If you subscribe to a paid plan, we record which plan you're on and its billing period. Because we currently process billing manually, we do not store card numbers on our systems. See our Billing Policy for details.
Technical information
We collect basic technical data needed to operate and secure the Service, such as log data, IP address, browser type, and timestamps of requests.
3.How we use information
We use the information we collect to:
- Provide, operate and maintain the Service
- Authenticate you and keep your account secure
- Enforce plan limits and manage subscriptions
- Respond to your support requests and communicate about your account
- Detect, investigate and prevent abuse, fraud and security incidents
- Improve the Service and understand how it is used
- Comply with our legal obligations
We do not sell your personal information, and we do not use your workspace content to advertise to you.
4.Data you collect from others
When you use Flowpera to collect information from your own clients, leads and audience — for example through a public booking page or a custom form — you decide what is collected and why. In data-protection terms, you act as the controller of that information and Flowpera acts as a processor, handling it on your instructions.
You are responsible for:
- Having a lawful basis to collect and process that information
- Telling the people you collect it from how you will use it
- Responding to their requests to access, correct or delete their data
We will process such data only to provide the Service to you, and we'll assist you in responding to those requests where we reasonably can.
7.Data retention
We keep your information for as long as your account is active or as needed to provide the Service.
When you delete a workspace, the content within it — including its forms, contacts, bookings, tasks and messages — is deleted. When you close your account, we delete or anonymise your personal information, except where we need to retain it to comply with legal obligations, resolve disputes or enforce our agreements. Backups are purged on a rolling schedule.
8.Security
We take reasonable technical and organisational measures to protect your information, including encryption in transit, hashed passwords, and row-level access controls that ensure members only see the data they are authorised to see.
No online service can be completely secure. You are responsible for keeping your password confidential and for the activity that happens under your account. If you believe your account has been compromised, contact us immediately at support@flowpera.com.
9.Your rights
Depending on where you live, you may have the right to access, correct, export, restrict or delete your personal information, and to object to certain processing. You can do much of this yourself from your account settings.
To make a request we can't fulfil in-product, email us at hello@flowpera.com. We will respond within the time required by applicable law. You also have the right to complain to your local data protection authority.
10.International data transfers
Flowpera is operated using cloud infrastructure that may store and process data in countries other than your own. Where we transfer personal information across borders, we take steps to ensure it remains protected by appropriate safeguards consistent with applicable law.
11.Children's privacy
The Service is not directed to children under 16, and we do not knowingly collect their personal information. If you believe a child has provided us information, contact us and we'll delete it.
12.Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we'll update the “last updated” date above and, where appropriate, notify you in the product or by email. Continuing to use the Service after a change means you accept the updated policy.
