Booking forms turn your availability into a public page clients can book in a few taps. Each form carries its own hours, questions, calendar and contact sync. This guide covers every option available when you build one.

Creating a booking form

New forms start from one of five templates or a blank form. A template pre-fills the create form with sensible defaults, weekly hours and questions — all of which you can change before or after creating.

Blank form

Start from nothing and define every field yourself.

Core details

  • Title and description — what the client sees at the top of the booking page.
  • Location and meeting mode — in person, phone or an online link.
  • Duration — how long each appointment runs.

Setting your availability

Each form has its own availability, set in one of two modes. You can switch modes at any time.

Recurring weekly hours

Define the hours you're open on each day of the week. The booking page generates slots from those rules automatically, week after week.

Manual slots

Hand-pick individual date-and-time slots. Ideal when your schedule is irregular or you only open a few specific times.

Fine-tuning which slots appear

Buffer

Padding added before and/or after each appointment so meetings never touch back-to-back.

Minimum notice

How close to now a client is still allowed to book — stops last-minute surprises.

Maximum advance

How far into the future the calendar opens — keeps people from booking months out.

Custom questions

Attach questions to a form so you walk into every appointment already knowing what you need. Each question can be marked required and reordered.

  • Short text — a single line, e.g. a company name.
  • Long text — a paragraph, e.g. what the client wants to cover.
  • Dropdown — pick one from a list you define.
  • Single choice and checkboxes — for structured answers.

Sharing the booking page

Public page

Every form has its own public address where clients pick a slot, answer your questions and confirm — no account needed.

Direct link

Copy the link and send it in an email, message or bio.

Embed

Drop the booking page into your own website with a snippet.

On / off toggle

Pause a form to close the diary for a while; past bookings and settings are untouched.

Link tracking

The Share tab shows total views, an estimate of unique visitors, views in the last 7 days, and a conversion rate from views to bookings — so you can see how well your link performs.

Charging for a booking

A booking form can request or require payment by attaching a product on its Payment tab. Payment runs through your own connected Stripe account.

No payment

The default — free to book.

Invoice to pay later

The booking is confirmed immediately and an invoice for the attached products is emailed to pay later.

Require payment

The visitor pays through Stripe before the booking is confirmed; the slot is held during checkout and reopens automatically if payment is abandoned.

Managing bookings

Each form has a Bookings tab listing upcoming and past appointments. Every booking records the submitter's country, device type and time.

Cancel

Cancelling a booking reopens its slot automatically, so the freed time becomes bookable again with no manual tidying.

Manual bookings

Add a booking yourself from the dashboard calendar for clients who call or email — captured exactly like an online booking, contact sync included.

Shared calendar

The Calendar page and workspace home show a real month view with per-day counts and a day-detail panel across all your forms.

Syncing bookings to contacts

A per-form Sync tab connects the form to a contact list and maps the invitee's name and email — plus each custom question — onto list columns.

  1. 1Open the Sync tab and choose a target contact list.
  2. 2Map each field to a column. The editor auto-matches by label; you can skip a field or create a new column inline.
  3. 3On every booking, Flowpera writes the mapped values to the list, deduped by email.
Tip

Because custom questions map too, a booking captures far more than a name and email — it can populate an entire lead record ready for follow-up.
