How it works
A chat widget is a small launcher button that sits in the corner of your website. When a visitor clicks it, they see either a live chat window (if teammates are online) or a lead-capture form (if no one's around).
Enable live chat and the widget shows which teammates are online. Visitors start a real-time conversation that lands in your shared inbox.
Disable live chat (or let it fall back when everyone's offline) and the widget becomes a form asking for name, email and your custom questions.
Every conversation — live or async — creates or updates a contact in your chosen list, with all mapped question answers attached.
Up to 5 widgets per workspace on any plan. Each widget has its own appearance, questions, contact list and live-chat setting.
Creating a widget
- 1Open the Chat Widgets area in your dashboard and create a new widget.
- 2Name it, pick an icon (chat bubble, headset, help, etc.) and choose your brand colours.
- 3Select the fill style (solid, outline or soft) and placement (bottom-left or bottom-right).
- 4Toggle live chat on or off, and set your greeting, offline note and lead-capture intro text.
- 5Add social links (Twitter, LinkedIn, Facebook, Instagram, website) to appear in the launcher.
The preview panel on the right shows exactly how the widget will look on a visitor's site — including placement, colours and the launcher animation.
Lead-capture questions
When live chat is off (or falls back), the widget asks visitors a series of questions before they submit. Each question can be marked required and reordered.
A single line — e.g. company name or phone number.
A paragraph — e.g. what they'd like help with.
Pick one from your options — e.g. department or plan interest.
Radio-style — e.g. how they heard about you.
Select any that apply — e.g. topics of interest.
The visitor's name and email are always captured automatically — you only add the extra questions you need.
Syncing conversations to a contact list
The Sync tab connects your widget to a contact list and maps every question answer onto a list column. The visitor's name and email are always synced; you map the rest.
- 1Choose the target contact list for this widget.
- 2For each question, pick the list column it should write to — the editor auto-matches by label.
- 3Create a new column inline if nothing fits, or leave a question on "Don't sync".
- 4Every conversation then writes the mapped values to the list, deduped by email.
Because custom questions map too, a single chat can populate an entire lead record — not just name and email — ready for your team to follow up.
The workspace inbox
All widget conversations arrive in a shared inbox inside your workspace. It's real-time, collaborative and built for teams.
Click a conversation to claim it — other teammates see it's taken. Reply inline and the visitor sees your answer instantly.
Live chats show a typing indicator and deliver messages in real time. Async messages land in the inbox for you to pick up later.
Conversations are open, resolved or closed — so you always know what's still pending.
See which teammates have the dashboard open and can chat right now — the widget shows this count to visitors too.
Embedding the widget on your site
The Share tab gives you two ways to add the widget to any website — no developer required.
<code><script src="https://your-site.com/embed.js" data-widget="WIDGET_ID" async></script></code> — loads a tiny async loader that injects an iframe. Handles layout, sizing and positioning automatically.
Point directly to <code>https://your-site.com/w/WIDGET_ID</code> in an iframe you control. Use this if you need custom placement or CSP constraints.
Both methods load from your Flowpera domain. The widget inherits its appearance, questions and live-chat setting from the dashboard — change it there and it updates everywhere instantly.
Limits and availability
5 — hard cap, enforced on create, on every plan including Free.
Requires the Chat Widgets module grant. Owners have it by default; grant it to managers and staff per person.
All plans — Free, Starter, Team and Believer all include up to 5 widgets.
The widget page (/w/...) and embed loader (/embed.js) are force-light and never go dark, so they always match your site.
